Tips to run a successful virtual meet

Think through all the aspects of virtual meetings beforehand to make it as productive as possible.

Video meetings are now the new normal, with the whole world shifting to work from home. While virtual meetings can pose a few challenges, they can be just as beneficial as face to face meetings as long as they’re run suitably. Here are some tips to run a successful virtual meeting.

Preparation Is vital
Virtual meets need preparation. Aspects of the meeting should be clear before conducting it such as the purpose of the meeting, agree on how actions will be recorded, communicated, and followed up and so on.

Perfect Platform
Choose a perfect platform depending on the nature of the meeting. The best platform for a quick check-in can differ from the right one for brainstorming or decision-making sessions.

Communication is the key
In face-to-face meetings, people pick up important clues from facial expressions, tone of voice, and body language. However, in virtual meetings, they are lost, which is why you need to take this into consideration when communicating with participants. Enhance your listening skills. Put your entire focus on the person who is speaking. Indicate that you’ve paid attention by summarising what he or she says, or by asking a relevant question.

Set time limits
Timing your meetings can considerably strengthen your productivity and help you extract a lot more value in the limited time you have. This way, the participants will stay focused and the meeting will not go off track.

Minimise distractions
Distractions can easily cause miscommunication in online meetings. To avoid them, make sure all your participants are sitting in a closed and well-illuminated room with a clear background. Also, use headphones and a collar mic instead of your laptop’s mic to ensure clear communication. When a person is speaking it’s better if others mute their speakers so as to improve the audio quality.
